Your next members are asking the price on WhatsApp
Saudi Arabia’s fitness market is one of the fastest growing in the region, and nearly every membership starts with a WhatsApp message asking the price. Most clubs answer them the next day. By then they have joined the gym down the road.
- The first question is almost always “how much?”, sent at night from Instagram or Google Maps.
- An instant, complete reply (price, branch, hours, trial slot) is what turns a price check into a trial visit.
- Women’s clubs and separate ladies’ branches mean each enquiry must reach the right branch, with the right team.
- Retention is where the money is: renewal reminders, freeze requests and members who stopped coming.
- An AI agent answers 24/7 in Arabic and English, books the trial and hands over to your sales team.
The fitness market in Saudi Arabia
Vision 2030 set a target of 40% of the population exercising regularly, up from 13% in 2015, and the market followed: large chains, women-only clubs licensed since 2017, and a wave of boutique studios in Riyadh and Jeddah.
The questions are local. Is there a ladies’ branch near me, are there female coaches, what are the hours in Ramadan, is there a family or student price. A generic reply loses the member to the next club on Google Maps.
Ladies’ branches
Enquiries are routed to the right branch and team. A women’s club answers as a women’s club.
Ramadan hours
Clubs open late after taraweeh. Timetable changes are broadcast to each branch’s members only.
Summer peak
When it is too hot to train outside, indoor demand jumps. The agent absorbs the spike in enquiries.
From price check to trial visit
Price enquiries are the most common message a gym receives and the one most often left unanswered. Front desk staff are busy with members in the club, and the sales team works office hours.
The agent gives the right price for the right branch, explains what is included, answers the questions that matter locally, and books a trial slot. The sales team meets someone who has already chosen a time to come.
Before and after
| Today | With CloseTalk | |
|---|---|---|
| Price enquiry at 11 p.m. | Answered the next afternoon | Answered in under a minute with the right branch price |
| Trial class | Offered by phone, rarely booked | Booked in the thread, reminded 2 hours before |
| No-show on trial | Lost | Followed up the same evening with new slots |
| Renewal | Member lapses silently | Reminder 30 days before, renewal link in the chat |
| Inactive member | Noticed when they cancel | Friendly check-in after 14 days without a visit |
| Timetable change | Poster at reception | Broadcast to the members of that branch only |
What it is worth
The model below only counts new members. Retention usually weighs more, but depends too much on your churn to put a number on it here.
Hypotheses for illustration only. Replace them with your own figures: the diagnostic call does exactly that, with your real data.
A real result, on the same mechanism
A French franchise network of 80+ outlets: loyalty on WhatsApp
Opt-in collected at the counter, then automatic sequences and offers. The closest thing to a gym or salon membership base: people who already know you and stopped coming.
The local rules in Saudi Arabia
Most Gulf deployments fail on local detail, not on strategy. Here is what the setup takes into account.
- Data law. PDPL, enforced by SDAIA since 14 September 2024. Marketing needs explicit consent, there is no legitimate-interest shortcut, and fines reach SAR 5 million.
- Calendar. The working week runs Sunday to Thursday. Friday and Saturday are the weekend. Nothing goes out on the local weekend or a public holiday unless you decide otherwise.
- Time zone. UTC+3, one hour behind Dubai. Send windows are set in local time, per line.
- Language. Arabic first. Najdi in Riyadh, Hejazi in Jeddah, and a large English-speaking expat base in both.
- Ramadan. Opening hours shrink and attention moves to the evening, after iftar. Send windows and follow-up timers are shifted for the month.
How we work
Three steps. You can stop after any of them.
Diagnostic
We read your real conversations and your current follow-up. You get a written audit: where the leads die and what a faster reply is worth to you.
Activation
We connect your WhatsApp lines, write the conversation playbook with your team, and train an AI agent on your own transcripts so it sounds like you.
Run
A monthly subscription: we keep the agent trained, run the campaigns and watch the numbers. Your team keeps selling.
Frequently asked questions
Can it connect to our gym management software?
Yes, where the software has an API or webhook: memberships, expiry dates and last visit feed the renewal and reactivation sequences. Otherwise we start from a regular export.
Will members be flooded with messages?
No. Every sequence has a frequency cap, stops the moment someone replies, and respects local send windows. A member who opts out never receives a campaign again, from any branch.
Can the agent handle freeze and cancellation requests?
It collects the request, explains your rules and passes it to a human with everything written down. Whether to offer a freeze instead of a cancellation is your policy, not the agent’s.
We have men’s and ladies’ branches. Can they stay separate?
Yes. Each branch can have its own line, its own team and its own conversations, with routing by location and branch type. Management sees the totals.
Can it handle Ramadan timetables?
Yes. You update the hours once, the agent answers with them, and a broadcast informs each branch’s members of their own schedule.
Is broadcasting to members allowed under the PDPL?
With explicit consent, yes. The platform records when and how each member opted in, and applies opt-outs across all branches.
