Your next members are asking the price on WhatsApp
The UAE has one of the densest fitness markets in the world, and members switch clubs as easily as they send a message. Most clubs answer them the next day. By then they have joined the gym down the road.
- The first question is almost always “how much?”, sent at night from Instagram or Google Maps.
- An instant, complete reply (price, branch, hours, trial slot) is what turns a price check into a trial visit.
- The Dubai Fitness Challenge each autumn brings a month of intense interest. The club that answers during it keeps the members afterwards.
- Retention is where the money is: renewal reminders, freeze requests and members who stopped coming.
- An AI agent answers 24/7 in Arabic and English, books the trial and hands over to your sales team.
The fitness market in the UAE
Dubai and Abu Dhabi combine big-box chains, premium clubs and hundreds of boutique studios, with aggregator passes that make switching easy. Loyalty is earned every month.
The Dubai Fitness Challenge, thirty minutes of activity for thirty days each autumn, creates a spike of new interest. Clubs that answer quickly during those weeks sign members who stay.
Easy switching
Aggregator passes and short contracts mean retention is a monthly job, not a yearly one.
Autumn peak
The Dubai Fitness Challenge brings new members. The agent absorbs the enquiries and books trials.
No WhatsApp calls
VoIP calls are blocked in the UAE. The written reply is the sales conversation.
From price check to trial visit
Price enquiries are the most common message a gym receives and the one most often left unanswered. Front desk staff are busy with members in the club, and the sales team works office hours.
The agent gives the right price for the right branch, explains what is included, answers the questions that matter locally, and books a trial slot. The sales team meets someone who has already chosen a time to come.
Before and after
| Today | With CloseTalk | |
|---|---|---|
| Price enquiry at 11 p.m. | Answered the next afternoon | Answered in under a minute with the right branch price |
| Trial class | Offered by phone, rarely booked | Booked in the thread, reminded 2 hours before |
| No-show on trial | Lost | Followed up the same evening with new slots |
| Renewal | Member lapses silently | Reminder 30 days before, renewal link in the chat |
| Inactive member | Noticed when they cancel | Friendly check-in after 14 days without a visit |
| Timetable change | Poster at reception | Broadcast to the members of that branch only |
What it is worth
The model below only counts new members. Retention usually weighs more, but depends too much on your churn to put a number on it here.
Hypotheses for illustration only. Replace them with your own figures: the diagnostic call does exactly that, with your real data.
A real result, on the same mechanism
A French franchise network of 80+ outlets: loyalty on WhatsApp
Opt-in collected at the counter, then automatic sequences and offers. The closest thing to a gym or salon membership base: people who already know you and stopped coming.
The local rules in the UAE
Most Gulf deployments fail on local detail, not on strategy. Here is what the setup takes into account.
- Data law. Federal Decree-Law No. 45 of 2021 (PDPL). Consent and a working opt-out on every marketing send.
- Calendar. Since 2022 the working week runs Monday to Friday, with a short Friday. Saturday and Sunday are the weekend. Nothing goes out on the local weekend or a public holiday unless you decide otherwise.
- Time zone. UTC+4, one hour ahead of Riyadh and Doha. Send windows are set in local time, per line.
- Language. English by default, Arabic for Emirati customers, and Hindi, Urdu and Russian on detection, often in the same day.
- Ramadan. Opening hours shrink and attention moves to the evening, after iftar. Send windows and follow-up timers are shifted for the month.
You cannot call your customer back on WhatsApp in the UAE. Voice and video calls inside the app are blocked by the telecom regulator; messaging works normally. When a lead writes at night, the written thread is not one channel among others: it is usually the only one that reaches them.
How we work
Three steps. You can stop after any of them.
Diagnostic
We read your real conversations and your current follow-up. You get a written audit: where the leads die and what a faster reply is worth to you.
Activation
We connect your WhatsApp lines, write the conversation playbook with your team, and train an AI agent on your own transcripts so it sounds like you.
Run
A monthly subscription: we keep the agent trained, run the campaigns and watch the numbers. Your team keeps selling.
Frequently asked questions
Can it connect to our gym management software?
Yes, where the software has an API or webhook: memberships, expiry dates and last visit feed the renewal and reactivation sequences. Otherwise we start from a regular export.
Will members be flooded with messages?
No. Every sequence has a frequency cap, stops the moment someone replies, and respects local send windows. A member who opts out never receives a campaign again, from any branch.
Can the agent handle freeze and cancellation requests?
It collects the request, explains your rules and passes it to a human with everything written down. Whether to offer a freeze instead of a cancellation is your policy, not the agent’s.
Members also come through aggregator passes. Can we convert them?
Yes. The agent can follow up with pass users after a few visits and offer a direct membership, within the rules of your aggregator agreement.
Can it match people with the right coach?
Yes, from the goals and constraints they give in the conversation, and it books the assessment in that coach’s calendar.
Which data law applies in the UAE?
